What the sticker leaves out
Fees usually assume a venue within a set radius; beyond it, mileage or fuel is added, and a late finish far from home often means an overnight stay for the act — both billed on top.
A quote often covers a room of a certain size. A larger space, a separate ceremony or drinks area, or uplighting and dancefloor lighting can mean hiring extra speakers, sub-bass or rigs that sit outside the base fee.
The fee typically covers performance up to a set finish time. Running past it is charged per extra hour or half-hour, and the rate late at night is often higher than the daytime rate.
Many contracts ask that the couple provide a hot meal and soft drinks for each performer and crew member on a long day — a line caterers bill as additional covers if it is not agreed in advance.

Why the band or DJ quote misleads
An entertainment quote is built around a typical booking: one performance of a set length, in a room of a certain size, at a venue within an assumed travel radius, finishing at a customary time. That figure is real, but a wedding rarely matches every assumption. Add mileage or an overnight because the venue is remote, extra PA and lighting because the space is larger or split across rooms, an hour of overtime because the night runs long, meals for the performers, and a separate ceremony or drinks-reception set — and the true total climbs well above the headline. Two acts with near-identical quotes can cost very differently once travel, kit and overtime are counted, which is exactly why comparing on the quote alone misleads. The true total is the only number that compares like with like.
How to work out your true total
Start from the base performance fee, then add travel for the distance to your venue plus an overnight if the finish is late and far from home; add any PA or lighting hire your room size, layout and lighting plan actually need; add overtime for every hour you expect to run past the standard finish, at the late-night rate; add meals for each performer and crew member; and add any ceremony, drinks or daytime set quoted separately.
